This Privacy Policy explains what information zconnect.io ("zconnect", "we", "us") collects, how we use it, and the choices you have. It covers our website at zconnect.io and the zconnect service at app.zconnect.io, including the registration pages courts share with hearing participants.
zconnect is used by courts to run hearings in Zoom. Courts import their docket, participants register through the court's registration link, and court staff follow the hearing day on the Live Docket Dashboard.
Who is responsible for your information
Court information. When a court uses zconnect, the court decides what docket information to import and who registers for its hearings. We handle docket information and participant information on the court's behalf, as its service provider, and only to run the service for that court. If you registered for a hearing and have a question about your case or how your information is used, contact the court that holds your hearing. We will help the court respond.
Our own information. We are responsible for the information we collect about court staff accounts, website visitors and people who contact us.
Information we collect
Court staff accounts
Court staff sign in with their court's Zoom account. When they do, we receive:
- Name, email address, profile picture and time zone from Zoom
- The Zoom account ID and the access tokens Zoom issues so zconnect can create and manage the court's hearing meeting
- Sign-in times and IP addresses
- Settings the court chooses, such as its logo, meeting title and role names
Dockets
When a court imports a docket, we receive the file and the information in it. That usually includes case numbers, case styles, hearing dates and times, case types, charges, and the names and roles of the people expected at each hearing. We also store the changes court staff make on the review screen and the check-ins they record on the Live Docket Dashboard, including which staff member made them.
Hearing participants
When someone registers through a court's registration page, we collect:
- First and last name
- Role in the hearing, such as respondent or attorney
- Preferred language
- Who they are representing or attending for, if they are not on the docket
- Which docket entry they confirmed as their own
From Zoom, we receive meeting activity for the court's hearing meeting, such as when a participant enters the waiting room, joins or leaves the meeting, and the name they joined with. This is what keeps the Live Docket Dashboard up to date.
Charges are never shown to participants on registration pages.
Website visitors
- Usage data. We use Google Analytics on zconnect.io to understand which pages people visit. It uses cookies and collects information such as pages viewed, approximate location, browser and device type.
- Chat. If you use the chat on our website or in the app, Intercom collects your messages and any contact details you give.
- Demo bookings. If you schedule a demo, Calendly collects the details you enter in the booking form.
- Videos. Our videos are hosted by Wistia, which records viewing activity such as whether a video was played.
Messages you send us
If you email us or contact support, we keep the message and your contact details so we can respond.
How we use information
We use information to:
- Run the service for the court: read imported dockets, match registrants to their cases, label participants in Zoom with their name and role, and show the court's hearing day on the Live Docket Dashboard
- Create and manage the court's Zoom hearing meeting
- Provide support and respond to questions
- Keep the service secure, find and fix errors, and prevent misuse
- Understand how the service is used so we can improve it
- Communicate with court staff about their account and the service
We do not sell personal information. We do not use docket or participant information for advertising, and we do not use it to train artificial intelligence models.
How dockets are read
When a court imports a docket, zconnect reads it automatically to find each case, each person expected at it, and their role. To do this, the docket is sent to Anthropic, an artificial intelligence provider that processes it on our behalf. Under Anthropic's commercial terms, information sent through its API is not used to train its models.
Nothing from an imported docket is saved to the court's hearing day until court staff review it and approve the import. Staff can correct or remove anything before or after approving.

- Cloudflare. Network security and delivery for our website and app
- Segment. Product usage analytics, including participant names, roles and languages for usage reporting

We may also share information when the law requires it, to protect the rights and safety of zconnect, our customers or others, or as part of a merger, acquisition or sale of our business, in which case this policy will continue to apply to the information.
How long we keep information
- Uploaded docket files are deleted automatically 90 days after they are uploaded.
- Docket information, registrations and hearing day activity are kept while the court's account is active so the court can review past hearing days. A court can ask us to delete its information at any time.
- Court staff account information is kept while the account is active.
- Website and support information is kept as long as needed for the purposes above.
When a court's account closes, we delete or de-identify its information unless we are required to keep it by law.
Security
Information is encrypted in transit between your browser, zconnect and our service providers. Access to court and participant information is limited to people who need it to run and support the service. No system is perfectly secure, so if you believe your information has been affected, please contact us right away.
Sharing the Live Docket Dashboard
Court staff can turn on a read-only link to the Live Docket Dashboard so colleagues can follow the hearing day. Anyone with that link can view participant names, roles and statuses for that day. Courts control this link and can turn it off or reset it at any time.
Children
Our website is not directed to children. Some court proceedings involve minors, and a court may import a docket or register participants that include them. That information is handled on the court's behalf in the same way as all other participant information.
